I manage a small association of 50 members, will gReception AS Basic be sufficient for me?

It is not so much about how big your association is, but more about what your needs are. If you wish to manage the membership base more effectively, to improve payment discipline, to make your work easier by being connected to a billing system, and to monitor the development of your association online and with current data, Basic will be very helpful.
Should you need help with organizing events related to the activities of your association, you will need online forms. They are amazingly flexible, you can use them not only for registrations or questionnaires, but possibly also for competitions. Voting will never be tedious and boring again. These functions will significantly affect the course of your congresses and meetings. It can also be used online – to obtain opinions during the membership period or in real time during the meetings, when the system will record, evaluate and register results of voting, and the possibility of printing the voting protocol directly from the system is the icing on the cake. You will find these two tools in the Standard version. 

Is it possible to upgrade from the system from Basic version to the Standard version if we decide for this change after some time?

Yes, the change of the package is possible at any time you wish to do so.

Once a year, we organize an association conference. Will the Standard version be sufficient for this event, or should we order the Conference model as well?

It all depends on the type of the conference. If the conference requires a registration form that shall include presenters and the audience, fee collection management, registration of additional events and similar matters, the Standard version should be sufficient.
However, if the event is a professional conference with a selection of documents from the presenters which need to be checked, approved and distributed according to the method of presentation – the Conference model is perfect for these aspects. Moreover, you can easily generate a collection of properly formatted abstracts and the conference program which may also be imported into personal calendars (Outlook, Google) of conference participants.

You are offering a training session in Jesenice near Prague, which is quite far from us, is there any other possibility?

Naturally, we are always trying to satisfy our clients, and it is therefore possible to request a training session at your location or by using modern technology, when the training session is held through the internet – usually through Skype and shared screens.

What is a Payment Gate?

A Payment Gate is a simple and secure web-based interface which enables customers (or association/club members in this case) to make payments for services, membership fees or goods. The payments may be conducted in various ways, usually by debit/credit cards, quick money transfers and similar means – that depends on cooperating banks.

We would like to allow our members to pay membership fees by debit/credit cards, but we don’t have any payment gate set up. How does it work?

In order to set up a payment gate, you will need to have an account with a bank that supports incoming payments through the internet. gReception AS is established for the GP Webpay payment gate and the ČSOB payment gate. Upon choosing one of the banks that participate in GP Webpay, you shall provide the bank with required information regarding your association/club, enter into an agreement on debit/credit card acceptance with the bank and then contact us.
Consequently, we will implement your payment gate into gReception in a customized way. The implementation will be charged as additional work, while the usual amount of the programmer’s work is 10 hours (a one-time payment). That is all – right after that, you can accept payments made by cards and they will be automatically registered in gReception.

Which banks provide GP Webpay? 

In the Czech Republic, GP Webpay cooperates with ČSOB, Komerční banka, Raiffeisenbank and UniCredit Bank. Slovak ČSOB also provides its clients with GP Webpay.
Each bank determines the price individually according to its own criteria, reflecting, for example, the size of the entrepreneur, monthly turnover, line of business, etc.

Is there anything you can do if we have a bank account with a bank that does not cooperate with GP Webpay? 

Yes, there is. If your bank allows you to use a payment gate, we will need you bank’s necessary technical documentation in order to program the connection, and we will then estimate time requirements. The usual amount of the programmer’s work is 40-60 hours.

Is there anything you can do if we have a bank account with a bank that does not support payments received through payment gates/debit cards, and we don’t want to change the bank?

Yes, there is. We offer the service “Receipt of Payments” through our secure payment gate GLOBAL SERVICES & ASSISTANCE. Its advantage is that you do not have to invest anything into expensive implementation of a payment gate, you only pay an annual lump fee for the operation of receiving payments by the company GLOBAL SERVICES & ASSISTANCE s.r.o. Payments securely received for your company remain to be your money at all times and they are transferred to your association/club’s account within agreed intervals.

Our association is not registered in the Czech Republic. Is it possible to implement payment gates of foreign banks? 

Yes, we are open to this approach, while we will need all the necessary technical documentation in order to program the connection and to ensure administrative and communication needs between individual entities. However, our experience so far indicates that these connections are not often supported.

In this case, we offer 2 options:

  1. Open a bank account for collection of membership fees in one of Czech banks, preferably one of those that cooperate with GP Webpay.
  2. We offer Management of payments through our secure payment gate GLOBAL SERVICES & ASSISTANCE. Its advantage is that you do not have to invest anything into expensive implementation of a payment gate, you only pay an annual lump fee for the operation of receiving payments by the company GLOBAL SERVICES & ASSISTANCE s.r.o. Payments securely received for your company remain to be your money at all times and they are transferred to your association’s account within agreed intervals.

What is PayPal?

The PayPal system is an electronic payment method. It enables transfers of money between PayPal accounts which are identified by e-mail addresses. More information at www.paypal.com.

Are there any fees for using the PayPal payment method?

Not on the part of GLOBAL SERVICES & ASSISTANCE s.r.o., we will integrate your PayPal account into gReception for free. We will only need your PayPal account (email) which we will apply to your membership database and the payments can be carried out smoothly.

What is iDoklad?

iDoklad is a free cloud accounting system. It issues and prints invoices directly from the Internet (invoices issued, advance invoices issued, receipts, etc.). It analyzes indebtedness of all clients, and it also sends reminders to the partners for unpaid invoices manually or automatically.
Furthermore, it is able to automatically check whether the invoice has already been paid by using internet banking of selected banks.

How does the interconnection of gReception and iDoklad work?

The interconnection enables invoices issued on the basis of gReception instructions to be paired with payments which arrived at the association/club account also by bank transfers.
Once the user completes a form with the payment (e.g. registration for a conference) or when requesting the payment of membership fee, the data will automatically be send to iDoklad which will issue an invoice which will be send directly to the customer/club member by iDoklad (or you can set the system up in order that iDoklad always delays sending the invoice to the consumer until you adjust the invoice first).
Thanks to the communication between iDoklad and internet banking of major Czech banks (ČSOB, FIO, Raiffeisenbank and Komerční banka), a payment which arrives at the association/club account will be paired with an issued invoice and the invoice then designated as paid in iDoklad and gReception. Should any payment be in default, iDoklad will automatically send reminders if you wish so.
Payments are paired twice a day between iDoklad and gReception.
